1. No Sale or Third-Party Sharing

Codebase does not sell, rent, trade, or lease your personal information to any third parties. We do not share your data with third parties for their independent marketing or commercial purposes. Your data is used exclusively for professional staffing and recruitment services.

2. LinkedIn API & Data Enrichment

To provide accurate staffing services, we use third-party integration tools, including the LinkedIn API, to ensure our CRM records are current.

  • Data Collection: We may retrieve professional data (such as job titles, headlines, and employment history) from your public profile to supplement the information you provide us.
  • Data Freshness: In compliance with API provider terms, we refresh or re-verify all enriched data every 30 days.
  • Purpose: This enrichment prevents us from contacting you for irrelevant roles and ensures our talent matching is based on your most recent career milestones.
3. Information We Collect
  • Identity Data: Name, contact details, resumes/CVs, and LinkedIn profile URLs.
  • Employment Data: Work history, educational background, skills, and certifications.
  • Technical Data: Usage logs from our internal tools and website (IP addresses, browser types).
  • Government Identifiers: (Only for active placement) SSN or PAN for tax and legal compliance in the US and India.
4. How We Use Your Data
  • Staffing & Recruitment: Matching candidates with prospective employers and client opportunities.
  • Internal Tools: Improving our proprietary recruitment software and CRM.
  • Human Oversight: While we use tools to sort and categorize skills, all final hiring and placement recommendations are made by our human recruitment team. We do not use fully automated “black-box” systems to reject candidates.
5. International Data Transfers (US-India)

Codebase operates as a global entity. Data collected may be accessed by our subsidiary, Codebase.com India PVT LTD, to provide sourcing and administrative support.

  • Security: We use Standard Contractual Clauses (SCCs) to ensure our India-based subsidiary maintains the same data protection standards as our US headquarters.
  • Internal Controls: Our developers and recruiters in India are bound by strict internal data handling policies and multi-factor authentication protocols.
6. Your Rights: Opt-Out & Deletion

You have total control over your data. You may exercise the following rights at any time by emailing privacy@codebase.com:

  • Opt-Out of Enrichment: You may request that we stop syncing your profile with LinkedIn and only use the data you manually provided.
  • Access & Correction: You may request a copy of the data we hold or ask us to fix inaccuracies.
  • Data Deletion: You have the “Right to be Forgotten.” Upon request, we will permanently delete your records from our CRM and internal tools within 30 days, unless retention is required by labor or tax laws.
7. Data Retention & Security
  • Security: We employ industry-standard SSL encryption and restricted access controls.
  • Retention: We retain data only as long as you are active in our network. Stale data or data from inactive candidates is purged after 24 months of no contact.
